
Girl Scouts in the Heart of Pennsylvania holding a recruitment incentive contest this fall to encourage and partner with Service Unit Leaders and Troop Leaders in recruitment of Girls and Adult Volunteers for membership year 2023-24.
Troops and SU’s can earn great prizes for supplies and activities for the girls by participating in various events and activities supporting recruitment. We also understand the costs involved, so to make participation easier, we outlined how we will assist in the expense to participate in events.
There are many ways to earn entries, the more activities you participate, and the more entries you would receive.

How do we earn an entry or multiple entries?
There are different methods that a SU or troop can earn an entry. Entries are assigned based on criteria and level of result for multiple entries for some criteria. If you participate in multiple ways, you earn the entry for each of the participations.
Attending an event and/or parade:
Earns: 2 entries.
Step 1: All SUL’s and Troops are required to report to their VSC when they intend to attend an event or parade. If any fee is required, SUL is responsible.
- Alert your perspective VSC via e-mail you are attending an event or parade. 2 weeks’ notice is required for VSC to be able to garner any materials needed.
- Provide details such as event name and any social media links, or any other pertinent requests, such as flyers, recruitment materials, that the VSC would need to provide.
- Step 2: Post Event- SUL or TL informs VSC of outcome, provides photos for Mission Moment. Once the criteria has been satisfied.
Holding Troop Formation Meeting: (VSC attendance not required)
Earns: 4 entries for troop formed, (5 girls, 2 adult leaders) 2 entries for holding meeting. Total of 6 entries.
Step 1: SUL contacts VSC their intent in holding a Troop Formation Meeting/Event.
- Date, Time and Venue for the Meeting, and if a detailed conversation is needed with other planned activities for the event.
- Theme of the meeting- if any for purposes of providing material, ie; flyers, advertising, social media needs.
Step 2: Post Event- SUL or TL contacts VSC, providing outcome, girls and adults recruited.
Add Adult Volunteers, Troop Activity Chaperones to your SU or Troop
Earn: 2 entries for each Adult Volunteer.
Step 1: Troop Leader contacts VSC.
Step 2: VSC will contact the TL or SUL once the volunteers are added to the roster, entry will be made.
Advertising in local publication:
Earn: 2 entries for each item published.
Step 1: SUL or TL notifies VSC they want to run an ad. Notification requires 2 weeks’ notice.
Step 2: VSC passes the finished product to the SUL or TL for the publication.
Step 3: Once the ad runs the SUL or TL needs to provide a copy of the ad (can be photo) for the entry.
Attending a Back to School Event
Earn: 4 entries for troops formed (4 girls, 2 adults), no troop formed w/ interest cards receive 1 entry.
Step 1: SUL or TL contacts VSC to let them know that they will be attending a BTS Event. Provides the following information
- School Name
- School Contact
- Date and time of the BTS Event
- Names of leaders attending, notes any girls attending and troop numbers
Step 2: Post BTS Event- SUL or TL contacts VSC. Reports back the following
- SUL or TL reports the post event information.
- Interest cards received?
- Memberships received?
- Adult Leaders/TAC’s received?
Attending Community Event with VSC
Earn 2 entries
Step 1: VSC contacts SUL or TL area where assistance for an event would be needed, OR brings list to Service Unit meeting and asks for volunteers to attend. Should be at least 1 volunteer to attend.
Step 2: Once the event is over VSC notes entry for the attendance.
SU’s will be provided the following budget. Up to $250 for a publication ad, and up to $100 for an event or parade fee. It is up to the SU team to determine spending of the funds.
SU’s would be reimbursed by an ACH once the receipt is provided to the VSC, or a check request is made to the VSC accompanied by the necessary documents and agreements to garner a check to the necessary party. Check requests would need to be made in enough time for processing.

Contest Dates:
August 15 through October 31.
Drawing will be held on Facebook Live on November 18, 2023. VSC will also contact winning parties.
